  • booking details, such as the date, time and size of your party, and any notes you give us (for example dietary requirements or allergies, or a special occasion);
  • payment information, such as credit or debit card details for deposits and payments (these are handled by our payment providers and are not stored on our website);
  • details you include in a job application, such as your CV and employment history;
  • the content of any messages, calls or emails you send us.

If you tell us about allergies or other health information when booking, we use it only to look after you during your visit.

TABLE BOOKINGS

Online table bookings are handled by our booking provider, Favourite Table. When you book through the “Book a table” links on our website you are taken to Favourite Table’s booking system, and the details you enter there are shared with us so that we can manage your reservation. Favourite Table processes this information on our behalf, and its own privacy and cookie policy also applies when you use its booking pages.

HOW WE USE YOUR INFORMATION AND OUR LAWFUL BASIS

We use your personal information only for the purposes it was collected for. Under UK GDPR we must have a lawful basis for each use:

  • To take and manage bookings, provide our services and take payment: because it is necessary to perform our contract with you, or to take steps at your request before entering into one.
  • To respond to enquiries and complaints, and to manage and administer your account: our legitimate interests in running our business and looking after our customers.
  • To send you news, offers and updates by email, text or post: your consent, which you can withdraw at any time.
  • To consider job applications: to take steps at your request before entering into an employment contract, and our legitimate interests in recruiting staff. If you agree, we may also contact you about other roles that might suit you.
  • To keep records, verify your identity when needed, recover debts, and meet our legal, tax and regulatory obligations: compliance with a legal obligation, and our legitimate interests.
  • To keep our website secure and working properly: our legitimate interests.

MARKETING

We will only send you marketing about our news, events and offers if you have agreed to receive it. Every marketing email will tell you how to unsubscribe, and you can also contact us at any time to have your details removed from our list or to update how you would like to hear from us.

WHEN WE SHARE YOUR INFORMATION

  • service providers who act on our behalf, such as our booking provider (Favourite Table), payment and card processors, our website hosting provider and our email providers;

  • a buyer or successor if we reorganise or sell our business, in which case your information would continue to be protected in line with this policy.

Where any of these providers store or process information outside the UK, we make sure appropriate safeguards are in place as required by UK data protection law.

HOW LONG WE KEEP YOUR INFORMATION

We keep your information only for as long as we need it for the purposes we collected it for. In most cases this means:

  • booking records: up to 2 years after your visit;
  • financial and transaction records: 6 years, as required for tax and accounting purposes;
  • marketing contacts: until you unsubscribe, and in any case we will not keep prospect details for longer than 3 years;
  • unsuccessful job applications: 6 months after the role is filled, unless you agree to us keeping them for longer.

After that we delete your information or anonymise it, unless we are lawfully required to keep it for audit or legal reasons.

YOUR RIGHTS

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to restrict how we use your information;
  • object to us using your information, including for direct marketing;
  • ask us to transfer information you have given us to another organisation;
  • withdraw your consent at any time, where we rely on consent.

Please tell us your name and contact details and, if you can, briefly describe the information you are asking about, as this helps us find it more quickly. We will take reasonable steps to confirm your identity before acting on a request, and we will respond within one month. There is normally no charge.

We take appropriate technical and organisational measures to protect your personal information from unauthorised access, accidental loss or destruction, and we review these regularly. For example, our website is protected by HTTPS.

Please be aware that communications over the internet, such as ordinary email, are not completely secure unless they are encrypted. We cannot accept responsibility for unauthorised access to or loss of information that is beyond our control.

MONITORING AND RECORDING OF COMMUNICATIONS
